Cal State Monterey Bay - Campus Data Warehouse Updates

The Campus Data Warehouse has been loaded with ERS student census data for Fall 2026. The CSUMB Data Glossary has a refreshed look and a redesigned home page to help Campus Data Warehouse users find definitions and support more easily.  This update is part of Institutional Assessment & Research’s broader user experience initiatives to improve navigation and discoverability across our data tools . Feedback from Campus Data Warehouse users highlighted the need for clearer pathways to information and more help interpreting dashboard fields, filters, and metrics. A new EdSights (Monte Chatbot) Analytics dashboard is now available in Campus Data Warehouse. The dashboard provides reporting on concerns identified through undergraduate students’ text message conversations with Monte, CSUMB’s AI assistant, to help the campus connect students with appropriate support. Monte engages students through supportive, personalized text message conversations, with outreach campaigns approximately every two weeks. In its start-of-year message, Monte introduced itself as a resource for questions about CSUMB, tips, and campus resources. Students were reminded that messages are not anonymous, staff may follow up when needed, and urgent concerns should be directed to a human at CSUMB. A new Appendix: Canvas Assignments page is now available on the Faculty Student Success dashboard in Campus Data Warehouse. The page provides a detailed table of Canvas assignments, with filters for Term, Class ID, Student Name, Assignment Name, Submission Type, Assignment Submission State (e.g., graded, submitted, unsubmitted), and Assignment Status (e.g., Late, Missing, On Time). The table includes assignment due dates, submission dates, and grades. Faculty may export the table to Excel by opening the three-dot menu at the upper right of the table and selecting Export to Excel . This enhancement was developed in part to provide faculty with an additional way to back up Canvas gradebook data following the May 2026 Canvas outage . The Class Schedule dashboard in Campus Data Warehouse has been updated with a new page, for Variable Unit Courses. This page identifies courses offered with variable units and provides a three-year average of the units students enrolled in. The number of years to include can be toggled by the dashboard users depending on the analysis needs. Results include section count, total enrollment, and average enrollment units per student enrolled. Users can filter the results by academic years, terms, subject, academic group, academic organization, course, session, and class ID. The dashboard also includes standard Class Schedule filters in the Controls at the top of the dashboard page. Access the dashboard through Campus Data Warehouse:  Shared folders / Dashboards / Courses / Courses (Non-Census) / Class Schedule.  Navigate to the Variable Unit Courses page.

The Retention and Graduation Detail dashboard has been updated with fixes to the various metric calculations to use the most recent census term rather than the most recent fall census term in the logic. As a result, spring and summer terms for which census data have been loaded now display cohort term enrollment and retention tracking metrics on the dashboard.  Note, the Summer 2026 census data have not loaded yet, so we would not expect to see the 1-year metrics for 2025 Summer cohorts yet. The Summer census data usually loads in mid to late October. Several metric calculated fields were using most recent fall census term code in their logic, which was suppressing census data loaded for terms in the year after fall (e.g. Spring cohorts).  Calculation logic was adapted to use most recent census term code rather than most recent fall census term code.  

The Retention and Graduation Detail dashboard has been updated in Campus Data Warehouse production with a fix for the Matriculation Term filter that was previously not working as intended to filter the dataset to selected matriculation terms. The filter is now working as intended. 

We are aware of an issue affecting hover previews in the CSUMB Data Glossary . When most visitors hover over a linked data element, the preview may not load and instead display the message, “There was an issue displaying this preview.”  The glossary’s data element definition pages and links remain available and can still be opened normally by selecting the link; only the hover-preview feature is affected.   Our wiki hosting provider, MyWikis, has confirmed that the issue is related to an anti-bot protection intended to preserve the stability and reliability of its services. The provider is evaluating whether it can restore hover previews without weakening those protections.    We will share an update when a resolution is available. 

Update – September 11, 2026:  The updated Campus Data Warehouse processes that provide QuickSight user roles and row-level security have been migrated to production and executed successfully.   Initial validation indicates that affected new employees are now receiving the expected QuickSight access and permissions.   If you are still unable to access Campus Data Warehouse reports or dashboards, please submit an IT ticket through Optimize so we can follow up.
