Cal State Monterey Bay - Campus Data Warehouse Updates

Export context menus were enabled for all data visualizations on the Academic Program Review Retention and Graduation dashboard in production.

I n our December Data User Advisory Group workshop, we discovered that Canvas user engagement score metrics are showing all 0.0 for most weeks of the term. Metric: "User Engagement" (sourced from User Engagement Dataset (RLS)). Some other Canvas metrics such as "Current Score %" (sourced from User Engagement Dataset (RLS)) and individual weekly "Total Canvas Clicks" (sourced from Page View Dataset) are appearing.  Investigation into the root cause is ongoing. We will monitor as the Spring term begins to see if the metric continues to populate as it did for the last weeks of the Fall 2025 term.

As a result of necessary server decommissioning, the legacy Campus Data Warehouse reporting system, Oracle Business Intelligence Enterprise Edition (OBIEE), is no longer available.  The underlying database data and daily snapshot history from OBIEE are preserved, and the Campus Data Warehouse team will begin work on migrating the historical snapshots into our AWS environments beginning in January 2026.

Since the Amazon Web Services (AWS) launch of the new Quick Suite Data Preparation experience last month, some existing datasets are producing (CONTEXTUAL_UNKOWN_SYMBOL) errors when attempting to migrate updated datasets from our stage to production accounts for Campus Data Warehouse. Impacted datasets (so far): Class Enrollment (Grades, Faculty Student Success, Course Enrollment Demographics dashboards and others) Institution Summary (Retention and Graduation dashboards and others) The impact for our Campus Data Warehouse development team and end users is that we cannot currently migrate any new development that relies on these updated datasets to production. Following feedback received at our October Data User Advisory Group workshop, we made a few visualization enhancements to the Preliminary Retention and Graduation (Non-Census) Not Retained and Not Graduated page that are now available to Campus Data Warehouse users in production. The map illustrating Not Retained and Not Graduated groups of students by Student Origin: Residence Location has been enhanced with a control that allows users to switch between Not Retained and Not Graduated Count or Percent metrics as the coloring for the map. In addition, a Cohort Term Enrollment filter has been added so that users may filter out residence locations with smaller initial cohort enrollment.  In addition, for a more granular look at cohort retention tracking by Last School Attended, a new table is available at the bottom of the Not Retained and Not Graduated page that groups students by their Last School Attended Type, Country, State, City and Last School Attended.

Updated 12/3/2025:  The issue with the Enrollment Term filter not properly updating the cohort and Matriculation Term displayed on the Preliminary Retention and Graduation (Non-Census) > Not Retained and Not Graduated page has now been fixed in Campus Data Warehouse production.  Users may now select prior Enrollment Terms and Cohort Metrics to see the Not Retained and Not Graduated groups of students from terms prior to the enrollment term students are currently registering for.

Update 11/25/2025:  The issue with terms prior to the 2014 Academic Year on dashboards built off of the Class Enrollment Dataset has been resolved in Campus Data Warehouse production. Grades, FSSD, and Course Enrollment Demographics should now show the historical data when selecting prior Academic Years on the dashboards. Dashboard changes for the default Race / Ethnicity displayed on data visualizations are coming soon to Campus Data Warehouse.  With the deprecation of CSU Race Reporting Category collection by the Chancellor's Office on October 1, 2025, we will be replacing the default Race / Ethnicity displayed on the various overview dashboards to use the existing IPEDS Race / Ethnicity (IPEDS Race/Ethnicity Reporting Category).  New IPEDS Underrepresented Minority (URM) and IPEDS Race / Ethnicity (Federal) fields will be created using IPEDS Race / Ethnicity.  In addition, the current field names will change to reflect the deprecation of the CSU Race/Ethnicity Reporting Category & Ethnic Code fields. Wait List metrics have been added to the metric selectors on the Class Schedule > Enrollment, Capacity, Units, FTES & SFR page and the Class Schedule > Multilevel Crosstab Table page.  These new metrics will allow users to identify class sections that have large numbers of students on the waitlist and to identify how many class sections across a course have students on the waitlist that may justify adding additional sections of a class to meet demand.  Tip: to sort the Class Schedule by the Total Wait List field, use the Sort feature on the Subject Description, Academic Course Named, and Class Section Code column headers to sort those rows in Descending order by Total Wait List. This will sort the subjects, courses and sections by the Total Wait List and help identify subjects, courses and class sections with more students on the wait list.
