New Features: Retention and Graduation Detail and Preliminary Dashboards

After resolution of the AWS Quick migration errors issue that was blocking migrations of the Institution Summary dataset and dashboards from stage to production, new enhanced features are available on the Retention and Graduation Detail and Preliminary Retention and Graduation (Non-Census) dashboards in Campus Data Warehouse production. 

Retention and Graduation Detail: 

Group Breakdown redesign implemented across Trend Comparisons, CSUMB / College / Major Comparisons, and Multilevel Crosstab Table pages enable faster discovery using the Group Breakdown dropdown search and eliminates multiple controls for selecting Group Breakdown fields.

The Trend Comparisons page has a new design enabling easier comparisons across selected Group Breakdown categories along with an Average Rate (Across Selected Groups) for comparison.

The Multilevel Crosstab Table page has been enhanced with additional enhancements that enable retention tracking on programs that have start and end times that vary from the typical pattern:

  • Multiselect "Matriculation Term Name" filter to allow selection of terms other than Fall as the cohort matriculation term for summer and other term starts
  • A conditional note that appears for Cohort Types such as First-Time Credential and First-Time Grad that indicate some programs may have start and end times that vary
  • Additional metrics in "Select Your Own" metrics view and "All Counts" and "All Rates" that allow term by term retention tracking for years 0-3
  • A linked "Understanding Retention Metric Enrollment Terms" glossary entry that helps determine which enrollment terms correspond with the Year and Term Retention metrics
  • Additional Credentials filters added to the "Controls" section at the top of the page to enable filter combinations for looking at MAE+ and Liberal Studies Integrated historical data: Credential Status, Credential Waiver Group, Credential and Subject Matter Waiver Desc, Student Standing at Matriculation

Preliminary Retention and Graduation (Non-Census):

Group Breakdown redesign implemented on Multilevel Crosstab enables faster discovery using the Group Breakdown dropdown search and eliminates multiple controls for selecting Group Breakdown fields. While this was available preliminarily since December 2025, we've fully implemented this using the new hierarchy dataset that makes for easier maintenance and consistency across the dashboards built on the same data model. Additional changes since December 2025 are available for new IPEDS Race/Ethnicity and Legacy Race/Ethnicity changes and other new breakdowns have been added from ongoing development.

Other changes across these dashboards include:
  • Standardized Controls layout and order across all dashboard pages
  • New "Related" dashboards page for discoverability and navigation
  • Other dashboard layout changes for consistency


GC0001380 - Retention analysis needs

COE needs to track the program cohorts that matriculate in the Summer. The existing data model supports a term-by-term retention and graduation tracking analysis.

Met with the College of Education on 8/27 to discuss requirements for this request in more detail.

For this ticket, we will:
1) Modify the "Retention and Graduation Detail" dashboard "Multilevel Crosstab Table" and "Term Comparisons" pages to bring in new Term Retention tracking metrics (e.g. 1-Term Retention % and Count, 2-Term Retention % and Count, etc., up to 3-Years).
2) Add a conditional note to appear for Cohort Type = "First-Time Grad" and "First-Time Credential" to explain that some programs for these cohorts have program starts other than fall terms - IAR to draft option and get College of Ed to review and suggest edits
3) Add a link to a document that documents College of Ed program start times and expected program lengths (Google sheet link that COE can maintain) - College of Ed to provide
4) Provide a lookup table to see what enrollment terms the retention tracking metrics correspond with

We also discussed possibly grouping some of the credential fields to make it easier to filter by specific credential programs. That will be a separate request in the future and will likely require a follow-up discussion with credential analysts and program coordinators in the College of Education.
