Cal State Monterey Bay - Campus Data Warehouse Updates

The Retention and Graduation Detail dashboard has been updated with fixes to the various metric calculations to use the most recent census term rather than the most recent fall census term in the logic. As a result, spring and summer terms for which census data have been loaded now display cohort term enrollment and retention tracking metrics on the dashboard.  Note, the Summer 2026 census data have not loaded yet, so we would not expect to see the 1-year metrics for 2025 Summer cohorts yet. The Summer census data usually loads in mid to late October. Several metric calculated fields were using most recent fall census term code in their logic, which was suppressing census data loaded for terms in the year after fall (e.g. Spring cohorts).  Calculation logic was adapted to use most recent census term code rather than most recent fall census term code.  

The Retention and Graduation Detail dashboard has been updated in Campus Data Warehouse production with a fix for the Matriculation Term filter that was previously not working as intended to filter the dataset to selected matriculation terms. The filter is now working as intended. 

Update 7/23/2026: Credentials-related dashboards based on the ERS Credentials dataset have been updated with the renaming of Legacy Race / Ethnicity fields and the addition of IPEDS Race / Ethnicity fields in Campus Data Warehouse. The IPEDS Race / Ethnicity and IPEDS Underrepresented Minority (URM) fields have replaced the Legacy Race / Ethnicity (pre-2026) and Legacy Underrepresented Minority (pre-2026) filters in the Controls dropdowns at the top of the dashboard, where appropriate. Both the IPEDS and Legacy fields are available in the Group Breakdowns, but the Legacy fields will not have data for Fall 2026 applicants and enrollees. Because students typically receive credential recommendations later in their academic careers, the impact on this dashboard may not become visible immediately. The Project Rebound student group has been added to Campus Data Warehouse to support reporting and analysis for students participating in the program.  The new student group is available across the following data model and dashboard areas: Enrollment (Census and Pre-Census),  Retention and Graduation (Census and Preliminary),  Grades (Non-Census),  Degrees (Census),  Credentials (Census) Using the Project Rebound Student Group Where Group Breakdown controls are available, users can select: Student Group | Project Rebound This allows dashboard results to be grouped by Project Rebound participation. After resolution of the AWS Quick migration errors issue that was blocking migrations of the Institution Summary dataset and dashboards from stage to production, new enhanced features are available on the Retention and Graduation Detail and Preliminary Retention and Graduation (Non-Census) dashboards in Campus Data Warehouse production.  Retention and Graduation Detail:  Group Breakdown redesign implemented across Trend Comparisons, CSUMB / College / Major Comparisons, and Multilevel Crosstab Table pages enable faster discovery using the Group Breakdown dropdown search and eliminates multiple controls for selecting Group Breakdown fields. We’ve linked to a new resource to help bring greater context to your analysis across several Campus Data Warehouse dashboards. A direct link to the CSUMB Campus Calendar Events  resource page is now available from the Pre-Census and Preliminary dashboards, making it easier to reference key academic and administrative dates when comparing data for a current admissions/registration term with data from a prior term.  The resource link has been added to Admissions (Pre-Census Snapshots), Enrollment (Pre-Census Snapshots), Admissions Funnel Projections, Enrollment Planning, and Preliminary Retention and Graduation. This enhancement is especially helpful when working with Same Point in Time  comparisons (i.e. metrics captured the same number of days away from the term begin dates for two terms), where understanding the timing of events—such as registration milestones, census dates, and deadlines—can significantly impact interpretation of the metrics year-over-year. Export context menus were enabled for all data visualizations on the Academic Program Review Retention and Graduation dashboard in production.

Following feedback received at our October Data User Advisory Group workshop, we made a few visualization enhancements to the Preliminary Retention and Graduation (Non-Census) Not Retained and Not Graduated page that are now available to Campus Data Warehouse users in production. The map illustrating Not Retained and Not Graduated groups of students by Student Origin: Residence Location has been enhanced with a control that allows users to switch between Not Retained and Not Graduated Count or Percent metrics as the coloring for the map. In addition, a Cohort Term Enrollment filter has been added so that users may filter out residence locations with smaller initial cohort enrollment.  In addition, for a more granular look at cohort retention tracking by Last School Attended, a new table is available at the bottom of the Not Retained and Not Graduated page that groups students by their Last School Attended Type, Country, State, City and Last School Attended.

Updated 12/3/2025:  The issue with the Enrollment Term filter not properly updating the cohort and Matriculation Term displayed on the Preliminary Retention and Graduation (Non-Census) > Not Retained and Not Graduated page has now been fixed in Campus Data Warehouse production.  Users may now select prior Enrollment Terms and Cohort Metrics to see the Not Retained and Not Graduated groups of students from terms prior to the enrollment term students are currently registering for.

Updated 9/25/2025:  The "1-Year Retention %" metric calculation was modified to suppress the metric for cohorts where the retention rate is preliminary.  All census-based Retention and Graduation tracking dashboards have been updated globally.  All other retention and graduation metrics were checked to ensure preliminary metrics do not appear on census-based dashboards. Preliminary rates are still available on the Preliminary Retention and Graduation (Non-Census) dashboard.

Update 7/25/2025: The issue with rehoming returning students into their appropriate cohorts that was impacting the Retention and Graduation dashboard has been resolved. Retention and Graduation dashboards are now available to users in QuickSight production.

Update 12/3/2024: The issue with Institution Summary dashboards (i.e. Graduation Initiative 2025 and Retention and Graduation) not updating as expected after the Fall 2024 ERS Student census load has been resolved. The hard-coded dataset calculations have been replaced with logic that will update automatically when new census data is loaded.  Graduation Initiative 2025 dashboards are now available in production but other Institution Summary dashboards (e.g. Retention and Graduation) remain unavailable as we continue to work to resolve issues with 'rehoming' returning students and inflated retention metrics.

The Campus Data Warehouse team is aware of a problem in production where College and Major Long Description controls on Institution Summary dashboards (e.g. Retention and Graduation and Graduation Initiative 2025) function differently in our modernized data warehouse than they did in our legacy system. This issue likely is a global issue for ERS (Census)-based dashboards. You need to select both old and new college and major names when using the filter controls on dashboards or you will not see all historical data.
